Most Outstanding Philanthropic Event - Eggroll Fest
Provide a detailed description of the event and the population it served. Details MUST include: date of event, number of participants, program purpose (goals, objectives, etc.), use of resources (finances, community support, etc.), and marketing techniques.
USMVSA holds an eggroll fest once a semester to benefit the current CPP, this year it happened to be The Pacific Links Foundation. This year the event was held on November 1st and March 28th. For eggroll fest our executive board plans out the dates for the event/shopping and prep, how many egg rolls the general members have to sell at the least, what ingredients we need to buy and we also schedule out a plan for prep and event day. The best thing about egg roll fest is that all of our members want to help out as much as they can, they go above and beyond selling more than the set number of egg rolls needed, they will spend countless hours rolling the egg rolls and will help on the actual day of the event by either being a runner (takes to-go orders from the kitchen to the front), Kitchen staff (placing egg rolls in containers and making sure egg rolls stay warm in ovens) or Front staff (is a friendly face for customers to answer questions, helps restock sauces and help E-board with anything). Our goal for this event is to sell as many egg rolls as possible so we can donate as much money as possible to our CPP. We have a E-board position in charge of egg roll fest (the position was Fundraiser chair but is now called Philanthropy chair), this person is the most important person for this event because they set deadlines for sales/sponsorships/shopping, keeps track of sales (collects the information of how many we sold for each type and method of paying) and keeps track of all bulk orders. The marketing techniques used are flyers handed out by members to students, tabling (we set up a table in the center of campus where members/E-board can take orders from students), sponsorships (this is where E-board goes around town in the community to find sponsors for our event and in return they can receive social media shout outs, a USMVSA T-shirt, and their logo represented at events), Facebook event page, and E-board/members posting about it on social media.
What efforts were used to motivate and involve the organization's members?
Members are naturally motivated to sell egg rolls and be involved. Our members know this is one of our most important events and that we all really love it. We set a number of egg rolls needed to be sold per member but the members try to sell as many as they can to beat other members and be represented as 'Top Egg Roll Seller'.
How did the organization overcome any challenges that arose while planning and implementing the event?
E-board always faces challenges while planning the event (such as dates not working for everyone) or during the actual event (Such as the weather being bad or having to fry more egg rolls) but we always make sure to remain calm, group up to discuss a plan to resolve the problem or challenge and work our hardest to achieve our goal.
