Provide a detailed description of the event and the population it served. Details MUST include: date of event, number of participants, program purpose (goals, objectives, etc.), use of resources (finances, community support, etc.), and marketing techniques.
On September 3, 2018, XULAVA hosted a “Back to School Picnic” which was opened to all VSAs and Xavier students. Using the power of social media, we made a facebook event page to advertise our event. In addition, we utilized our networking connection of multiple Camp Delta Family’s GroupMe to invite other VSAs to our event. The amount of people who supported and came out to the event was around 40 people. The purpose of this event was to raise money for victims of Hurricane Harvey, in addition to, welcoming our XULAVA members back to the school. Similarly to Hurricane Katrina, many of us experienced the devastations of losing our homes, having to evacuate, and an insufficient amount of resources. We wanted to show our support by having $1 pie in the face for people to come pie EBoard members in order to raise money for Hurricane Harvey victims. With the love and support of all the people who came out, we raised over $100 for Hurricane Harvey victims.
What efforts were used to motivate and involve the organization's members?
We informed our members that this event was essentially for them and for a good cause. We told our members that they could come out and have fun before school begins. In addition, they would be supporting a good cause and are able to network with other VSAs members.
How did the organization overcome any challenges that arose while planning and implementing the event?
While planning for this event, we faced weather and funding issues. Initially, the “Back to School Picnic” was at City Park. However, there was a possibility of rain, which resulted in moving our event to Xavier’s University Center. On the day of the event, we decided to move our event outside since the weather improved. In addition, we attempted to request money from Xavier’s Student Government Association, however, we were not able to receive any fundings from Xavier’s SGA for the event, so we used money from our own treasury to fund the event.
